Placement Requirements, Privacy and Clearances
Learn what may be required later—and protect sensitive information during the first inquiry.

At a glance
All Seniors is accepting preliminary inquiries, and requirements vary by pathway. An initial inquiry needs planning information, not private clearance documents. If a real opportunity is identified, the responsible school, host, supervisor, and organization determine which agreements, licenses, insurance, training, screenings, privacy controls, health and safety measures, and evaluation procedures actually apply.
Do not upload medical records, immunization records, background reports, government identification, Social Security numbers, insurance certificates, licenses, or student dossiers to an initial public form.
Submitting information or later completing a clearance does not guarantee acceptance, placement, academic credit, hours, volunteer service, employment, or availability.

Information appropriate for an initial inquiry
Students may provide:
- name and preferred contact information;
- city or ZIP code and travel range;
- confirmation that they are age 18 or older for phase one;
- school, program, level, and coordinator contact;
- pathway and learning objectives;
- term, preferred dates, weekly availability, and required hours;
- whether an affiliation agreement or specific supervisor credential is required;
- a summary of compensation, credit, evaluation, and clearance expectations;
- accessibility or communication needs for the inquiry process.
Schools may also provide estimated cohort size, curriculum/competencies, faculty or preceptor model, insurance and agreement expectations, and evaluation method.
Do not send these through the public first-contact form
- Social Security number or full birth date;
- driver's license, passport, work-authorization document, or other government ID;
- medical history, diagnosis, medication list, vaccination or immunization record, TB result, or drug-screen result;
- background-check report, fingerprint result, driving record, or credit report;
- transcript, license image, certification card, school dossier, or complete student roster;
- professional, general-liability, workers' compensation, or automobile insurance certificate;
- completed affiliation agreements or contracts;
- patient, client, donor, applicant, employee, or volunteer information;
- passwords, access codes, financial information, or production-system credentials.
Do not paste these details into a free-text field. If they are later justified, an authorized reviewer will identify the minimum required information and approved transmission method.
Requirements that may apply after a possible pathway is identified
School and program approval
The school may need to confirm enrollment, prerequisites, curriculum, objectives, term, hours, evaluation, faculty oversight, and authority to place the learner. Clinical and regulated programs may have additional program or site-approval requirements.
Agreement and role documentation
The parties may need a written affiliation, placement, volunteer, confidentiality, project, or other agreement. The final document should identify responsibilities, dates, location, supervision, scope, classification, insurance, privacy, safety, evaluation, incident handling, and termination.
Identity and eligibility
Identity, enrollment, license, certification, or other eligibility verification may be necessary for a specific role. Verification should use an approved, minimum-necessary process—not an unrestricted email attachment or public form.
Screening and clearances
Depending on the role and setting, later steps may include references, background screening, fingerprinting, driving review, exclusion checks, health clearance, immunization evidence, TB screening, fit testing, or other program/site requirements. This page does not declare that every item is required or sufficient.
Insurance and classification
The school, host, and organization may need to resolve professional liability, general liability, workers' compensation, automobile coverage, volunteer coverage, or another risk allocation. Compensation, volunteer status, academic credit, and “intern” labels do not replace a classification review for the actual arrangement.
Privacy, confidentiality, and information access
Participants may be required to complete privacy and security training, sign appropriate acknowledgments, follow role-based access rules, use only approved systems and devices, and report suspected privacy or security incidents immediately.
The U.S. Department of Health and Human Services explains that supervised medical trainees can be included in a covered entity's training operations. That does not give every trainee automatic access to records. The responsible entity defines appropriate policies and access for the approved role.
Health and safety
Orientation may cover emergency procedures, infection prevention, bloodborne-pathogen or exposure controls, personal protective equipment, lifting and ergonomics, field safety, driving, home visits, violence prevention, incident reporting, or post-exposure response, depending on the work.
The California Department of Industrial Relations describes employer responsibilities and distinctions involving employees and true volunteers under the Bloodborne Pathogens Standard. The parties must resolve the actual participant status and safety program; the label used on a webpage is not enough.
Clinical scope and supervision
Patient-facing work requires pathway-specific confirmation of the learner's program status, permitted activities, licensed supervision, site authority, consent or notification process, documentation rules, and evaluation.
Examples include:
- medical-assistant scope and supervision;
- California phlebotomy training-program and site requirements;
- nursing-student clinical learning;
- out-of-state NP program clinical placement requirements.
These sources are starting points. Every discipline and arrangement must be verified before an opportunity is offered.
Minimum-necessary document workflow
- Initial inquiry: planning information only.
- Possible fit: authorized reviewer identifies the exact unmet requirement.
- Secure request: the reviewer explains the approved route, recipient, purpose, and retention expectation.
- Verification: only the needed fact is reviewed by an authorized person.
- Decision: the result is recorded without broadly redistributing the underlying document.
- Access closure: documents and access follow the applicable retention and deletion policy.
Ordinary email alerts should summarize non-sensitive routing information and link authorized staff to the protected entry. Sensitive records should not be repeated in broad email distribution.
Accessibility and accommodations
Applicants may request reasonable communication or process accessibility during the inquiry. The request should describe the access need, not require unnecessary medical details in the public form. Role-specific requirements and potential accommodations are evaluated through the appropriate later process.

Frequently asked questions
Should I upload my vaccine card or TB result with the inquiry?
No. Do not send health or clearance records through the public first-contact form. If a real pathway requires specific evidence, an authorized reviewer will explain the approved process.
Is a background check always required?
No universal rule is stated here. Screening depends on the actual role, setting, contact, school, host, insurance, and applicable requirements.
Does completing every listed item guarantee acceptance?
No. The list describes possible requirements. Acceptance also depends on a real opportunity, fit, supervision, capacity, schedule, scope, and written approval.
Can I email my license or school documents?
Not unless an authorized reviewer requests the specific document through an approved method. Do not send it with the initial inquiry.
Will I have access to patient information?
Not automatically. Any access must be needed for the approved role, governed by the responsible entity, limited appropriately, supervised, and supported by privacy and security controls.
Who pays for screenings or clearances?
That must be decided for the actual opportunity and documented before the participant incurs a cost. This page does not assign payment responsibility.
Are requirements different for volunteers?
They can be. Role, setting, contact, safety, insurance, school involvement, and participant status determine what applies. Volunteer status should not be used to bypass responsible safety and privacy controls.
