How Placements and School Agreements Work
Follow the review from first inquiry to a written decision—without mistaking interest for acceptance.

At a glance
Every All Seniors Career Pathways request begins as a preliminary inquiry. The team first identifies the correct pathway, then reviews educational purpose, current capacity, geography, scope, supervision, schedule, classification, school requirements, privacy, safety, insurance, clearances, and evaluation. A placement exists only after the responsible parties complete the required review and confirm it in writing.
Submitting a form, receiving an email, attending a call, interviewing, or sharing requested information does not by itself mean you are accepted or placed.

Only offered and confirmed describe a real opportunity. Public program pages remain inquiry pages unless a separately verified opening is published.
Step 1: Choose the correct inquiry
Student or trainee
Use the student interest form to describe your school, pathway, learning objectives, dates, schedule, hours, and travel range.
School or training program
Use the school partnership form for a program, cohort, clinical placement, practicum, field placement, or repeatable project proposal.
Volunteer or service learner
Use the volunteer interest form to describe your service interests, skills, languages, availability, region, and any school documentation need.
Job applicant
Use the application attached to a current Careers posting. A student or volunteer inquiry is not a job application.
Step 2: Initial triage
The team checks whether:
- the request belongs in the student, school, volunteer, or employment workflow;
- the person is age 18 or older for phase one;
- the proposed region is Los Angeles or the San Fernando Valley;
- the pathway and dates are understandable;
- a school coordinator is required;
- the form contains sensitive documents that should not have been submitted;
- enough information exists for a meaningful review.
A request may be returned for clarification or redirected to the correct process.
Step 3: Fit and capacity review
An inquiry can proceed only if there is a genuine educational or charitable purpose and a potentially suitable current need. The team evaluates:
- mission and learning fit;
- actual mentor, supervisor, faculty, or coordinator capacity;
- setting and travel feasibility;
- schedule and duration;
- meaningful activities and prohibited activities;
- whether the work complements rather than improperly replaces ordinary staff;
- privacy, accessibility, safety, and technology requirements;
- compensation, school credit, volunteer status, and other classification questions;
- how hours, feedback, and evaluations would be handled.
If no suitable pathway exists, the honest result is “not currently available.” All Seniors should not invent tasks, placements, or supervision to satisfy requested hours.
Step 4: School and operational review
When a school or regulated program is involved, authorized representatives compare requirements. Depending on the pathway, that may include:
- curriculum and learning objectives;
- student eligibility and prerequisite completion;
- affiliation or site agreement;
- faculty, mentor, instructor, supervisor, or preceptor responsibilities;
- required credentials and license verification;
- compensation, workers' compensation, professional liability, and general liability;
- privacy and confidentiality;
- health, safety, infection-control, and exposure procedures;
- background, identity, training, or other clearances;
- schedule, attendance, accessibility, conduct, and dress expectations;
- evaluation, hour verification, incident reporting, and termination.
The details vary. A generic form or handshake is not a substitute for the process required by the actual pathway.
Step 5: Written decision
An authorized decision should state one of the following:
- the proposal is declined;
- the proposal is held because no current capacity exists;
- more information or a limited pilot review is needed;
- an opportunity is offered subject to stated conditions;
- the opportunity is confirmed with a start plan.
An offer should identify the legal host, location or approved format, dates, schedule, activities, boundaries, supervisor or mentor, compensation or volunteer treatment, school relationship, required clearances, evaluation method, and conditions that must be completed before starting.
Step 6: Onboarding and participation
A confirmed participant completes only the requirements that apply to the approved role. Orientation should cover:
- mission, conduct, accessibility, and communication;
- exact activities and boundaries;
- supervision and escalation;
- privacy, records, systems, photography, and social media;
- safety, infection control, incident response, and emergencies where relevant;
- attendance, hour recording, feedback, and evaluation;
- how to raise a concern or request an accommodation;
- how the placement may be paused or ended.
No participant starts clinical, client-contact, system-access, driving, lifting, financial, or other higher-risk work merely because a requested start date has arrived.
Step 7: Evaluation and closeout
At the end of an approved experience, the responsible people complete only the documentation they are authorized to complete. Closeout may include:
- verified attendance or hour records;
- school evaluation forms;
- participant feedback;
- mentor or supervisor feedback;
- return or closure of access, materials, and credentials;
- review of incidents or unresolved concerns;
- decision about whether the pathway has capacity for a future cycle.
Completion does not guarantee certification, licensure, academic credit, a reference, employment, or another placement unless the responsible party separately confirms it.
Timing
All Seniors should not publish a universal response or placement timeline until the actual triage capacity and pathway requirements are measured. School agreements and clinical reviews may require multiple authorized parties and cannot be rushed by a student's deadline.
Submit complete summary information as early as your school permits, but make alternate plans until you receive a written confirmation.

Frequently asked questions
How long does approval take?
There is no universal approval time. Complexity, completeness, current capacity, school review, agreements, insurance, supervision, clearances, and scheduling all affect timing. Do not treat a preferred start date as confirmed.
Does a confirmation email mean I was accepted?
No. The first email confirms receipt. Acceptance requires an authorized written offer and completion of the stated conditions.
What if my school deadline is close?
State the deadline accurately and involve your coordinator early, but maintain alternate plans. All Seniors cannot skip required review or guarantee a decision by the deadline.
Can I start while an affiliation agreement is being reviewed?
No, when the agreement or another approval is required for that pathway. All applicable conditions must be complete before participation begins.
Who signs hours and evaluations?
Only the person authorized by the final school/site arrangement. A general staff member, webpage, or inquiry confirmation does not create that authority.
Can a proposed pathway be declined after a discussion?
Yes. A discussion may identify a capacity, supervision, scope, classification, privacy, safety, insurance, schedule, or school requirement that cannot be met.
Is the process the same for volunteers and interns?
They share an inquiry and safety discipline, but the educational purpose, classification, school requirements, duties, insurance, supervision, and documentation can differ. They remain separate workflows.
